1. Initial Consultation
The initial consultation will be agreed between the dietitian and the client and an e-mail confirmation will follow. The assessment will be undertaken and a treatment plan will be agreed. The need for further treatment will be communicated and agreed. A written report will be generated and shared with any parties needed (e.g. GP) with the client's consent.
2. Review Appointments
Review appointments will be agreed in advance and confirmed via e-mail or via the telehealth app. If you book a block of sessions, these can be taken over any reasonable time period as agreed between the dietitian and the client. A reasonable effort will be made to book future sessions at the end of the session. A report or action points (as appropriate) will be generated and sent to the client.
3. Appointment Cancellation
To ensure we can provide the best consultation service to all clients, Wellness Bites operate on a 48 hour cancellation policy for in person bookings and remote bookings. To cancel or re-schedule a nutrition consultation please contact us; We always try as best as possible to accommodate your requirements.
If you need to cancel with less than 48 hours notice, then we reserve the right to charge the full fee. You shall pay all amounts due without exception as required by law.
By undergoing a consultation with Wellness Bites, you are agreeing to the terms and conditions of the cancellation policy.
4. Fees and Refunds
Fees will be agreed prior to booking appointments. For initial consultations, we will kindly request a holding deposit of 30% of the initial consultation fee, which should be paid at least 24 hours before the appointment time in order to confirm your appointment. Following the end of your consultation, we will send you an invoice for the outstanding balance. Invoices are payable within 14 days unless agreed otherwise.
We will make any reasonable effort to ensure that you are satisfied with the services we offer, however please note that we currently do not issue refunds under any circumstances.
5. Late Payments
The following process will apply in the event of non-payment:
a. The Dietitian will contact the client to remind them that that payment is overdue.
b. If an invoice is not paid within 14 days thereafter, the client will receive written notice that therapy is suspended pending payment in full.
c. If payment is not received in full within 14 days of therapy being suspended, the dietitian reserves the right to refer the matter to a solicitor and to commence legal action.
5. Data Protection
Wellness Bites is registered with the Information Commissioner's Office (ICO) as a Data Controller, registration number C1393904.
All client details, case notes and correspondence will be stored securely and treated confidentially according to General Data Protection Regulations and the Data Protection Act 1988.
Information is stored in accordance with HCPC standards.
6. Electronic Communication
E-mail is the preferred method of communication but is never 100% secure, with your consent we will send all communication via the e-mail address you provide us with.
